Create Assignments from Organizational/View-Only Perspective
The view-only perspectives available from the Display Tabs As menu provide an excellent mechanism to evaluate work load by categories such as location, department, and zone.
The Assignment Calendar displays in view-only mode when one of these perspectives are chosen. In this mode, assignments for multiple technicians are shown together, so that both the assignee and the work order/asset information are displayed. The picture of the assignee is displayed if available.
You cannot create an assignment in view-only mode by clicking a date on the calendar, as it would not be possible to determine the assignee. However, you can use an existing assignment as a model to create a new assignment, and then drag the assignment to the proper date.
Organizational Filters
The following filters are available:

Repair Centers

Tabs: Each repair center in your organization.

Description: Provides a high-level view of assignments by repair center. No additional filtering is available.

Shops

Tabs: Each shop in your organization.

Description: Provides a high-level view of assignments by shop. You can filter the results by repair center, and further limit the results with a search expression based on the name of the shop.

Shifts

Tabs: Each defined shift.

Description: Provides a high-level view of assignments by shift. You can filter the results by repair center, and further limit the results with a search expression based on the name of the shift.

Zones

Tabs: Each zone in your organization.

Description: Special feature supporting organizations that manage their maintenance work by zones, such as a school district. This feature lets organizations see what other labor resources are scheduled to work in the same zone when making an assignment. With zone selected, you can filter the results by repair center, and further limit the results with a search expression based on the name of the zone.

Departments

Tabs: Each department in your organization.

Description: Provides a high-level view of assignments for work orders associated with a particular department. You can filter the results by repair center, and further limit the results with a search expression based on the name of the department.

Customers

Tabs: Each customer in your organization.

Description: Provides a view of assignments by customer. You can filter results by repair center, and further limit the results with a search expression based on the name of the customer.

Projects

Tabs: Each project defined for your organization.

Description: Provides a view of assignments by project, so that work orders that are part of the same project can be viewed together. You can filter results by repair center, and further limit the results with a search expression based on the name of the project.

Categories

Tabs: All categories defined for use in your organization.

Description: Provides a categorical view of work orders based on the value entered in the Category field on the Work Order Details page. You can filter results by repair center, and further limit the results with a search expression based on the category name.

Supervisors
-
Tabs: All employees with supervisory responsibilities, which means they are listed as a supervisor for another labor resource.

Description: Provides a view of assignments for all work orders associated with the designated supervisor. Work orders are associated with supervisors on the Work Order Details page.
You can filter results by repair center, and further limit the results with a search expression based on the supervisor’s last name.

Create an Assignment from View-Only Perspective

Choose between two options:

From the Work Order Details page, click the New Assignment button in the Assignments section on the right side of the page.

From the Work Order Assign page, click the New Assignment button.

Select a view-only organizational perspective from the choices available on Display Tabs As.
The calendar refreshes. Depending on the selection you make, an additional filter and/or a search field may display.

Choose between two options:

If an additional Repair Center filter is available, select a repair center.

If a search field is available, enter a search expression to limit the displayed results.
The search will correspond to the label listed above the search control.

Enter search criteria to limit the results listed in the Display tabs of the calendar.

Click Go to execute the search.
The calendar refreshes. Records matching your search criteria are listed on the Display tabs of the calendar.

Click the tab corresponding to the desired perspective.
The tab for the selected item will be highlighted in red and the item will be listed in the header bar of the calendar. The calendar refreshes with current assignments for this perspective.
Each assignment will have an Assignee Picture, Work Order ID, Asset, and Target Hours. The colors of the assignments correspond to the priority of the work order or its status. Locate an existing assignment for the individual you want to receive the new assignment.
This is necessary because you cannot create an assignment by clicking a date, since the assignee would not be identifiable. You must instead find another assignment to use as a model.

Right-click the assignment and select New Assignment from the menu.
The New Assignment window opens. It displays information about the current work order and asset and lists the assignee from the previously accessed assignment. By default, the assignment hours will correspond to target hours for the work order, or one if there are no target hours defined, and the assignee will be listed as the assigned lead and assigned PDA user.

Choose between two options:

To change the assigned hours, click a different number in the Hours display.

To designate partial hours, select minutes from the four options available.

Select the Assigned Lead check box to indicate that this individual should be the assigned lead.
Only one individual can be the assigned lead on a work order. If you designate an individual as an assigned lead, the system will remove this designation from any other individual with that designation.

Select the Assigned PDA User check box if the individual should be assigned as a PDA user.
Only one individual can be the assigned PDA user on a work order. If you designate an individual as an assigned PDA user, the system will remove this designation from any other individual with that designation. This field is only used by organizations using an early version of the offline product.

Click Apply.
The Assignment Calendar appears with your new assignment displayed on the same date as the one used for a model. Since the assignment corresponds to the work order, it will be displayed in orange, regardless of the priority of the work order.

To move the assignment, click and drag it to the desired date.
